VAP for Cosmetics & Personal Care Retailers

Cosmetics retail software with batch, expiry and shade tracking

Shades, batches and shelf lives that all matter.

Cosmetics combine the hardest parts of apparel and pharmacy: a single product exists in a dozen shades and sizes, and most of it carries a batch and a shelf life. VAP tracks every shade and pack as its own SKU with its own stock and price, keeps batch and expiry visible so nothing ages out unnoticed, and feeds your online store from the same shelf.

What gets in the way

Where cosmetics & personal care retailers lose money

Shades are not interchangeable

Being "in stock" on a foundation means nothing if the three shades customers ask for are the three you are out of.

Expiry creeps up on high-value stock

Beauty products date quietly. Without batch-level visibility, the write-off arrives as a surprise at stocktake.

Online is a second catalogue

Maintaining shades, images and prices twice — once in the shop system, once on the website — guarantees the two drift apart.

What you get

Set up for cosmetics & personal care retailers

Every business on VAP gets the features that trade actually needs — nothing you have to configure around. Here is what a cosmetics & personal care setup includes.

Shade & size variants

Shade, size and formulation are variant options, each with its own SKU, stock, barcode and price.

Batch & expiry tracking

Goods receipts capture lots and expiry dates, and FEFO picking clears short-dated stock first.

MRP per pack

Travel size, regular and value pack each carry their own printed price, captured at the received unit.

Counter billing

Barcode POS per terminal with every tender type, plus credit notes tied to the original invoice.

Purchase orders

Brand-wise purchasing against supplier price lists, with landed cost posted at goods receipt.

Customer history

One party record across counter and online — what shade they buy, and when they will need it again.

Online store on one catalogue

Your webstore reads the same variants, images and stock, so there is no second catalogue to maintain.

GST built in

Invoices, credit notes and GST reports generate from the records you already billed.

In practice

What that looks like on a normal day

01

Restocking by shade, not by product

See which shades actually move at which store, and reorder those instead of a flat quantity across the range.

02

Clearing short-dated stock

Pull everything within ninety days of expiry, per store, and discount or transfer it before it is a loss.

03

A D2C launch on the same stock

Your online store sells the same shades from the same shelf, with no separate inventory to reconcile.

Selling online

Your website, on the same stock

Vritti builds the storefront and deploys it on Vritti Cloud, on your own domain. Connecting it to VAP is optional — but when it is connected, there is one catalogue and one inventory instead of two.

A beauty storefront built for you

Vritti builds and deploys your store on Next.js and Payload CMS, with shades, swatches and stock coming live from VAP.

Repeat purchase reminders

Messages keyed off what a customer actually bought and when it typically runs out — not a bulk list.

FAQ

Cosmetics & Personal Care software — common questions

Can it track different shades of the same product separately?

Yes. Shade, size and formulation are variant options, and every combination is its own SKU with independent stock, price and barcode. Reordering works per shade rather than per product line.

Does it track batch numbers and expiry for cosmetics?

Yes. Goods receipts capture lot numbers and expiry dates line by line, and FEFO picking moves short-dated stock first so it sells rather than ages out.

Can different pack sizes have different MRPs?

Yes. MRP is recorded per unit of measure, so a travel size, a regular and a value pack each carry their own printed price captured at the pack you received.

Will my online store share stock with my shop?

Yes. Vritti builds your storefront to read the same catalogue and per-site stock as the counter, so there is one catalogue and one inventory rather than two that drift.

Does it work for a single store as well as a chain?

Yes. A single store is one site under one legal entity, using the same system. Multi-site is already in the model, so adding stores later does not mean re-implementing.
