Implementation & Setup

VAP set up around how you actually trade

You should never log in to an empty ERP.

A blank ERP is a project, not a product. Implementation is the work that turns VAP into your system: the features your trade needs switched on, roles cut to who does what, your registered firms and tax registrations entered, your outlets and warehouses created, and your master data loaded and checked before anyone bills a customer.

What you get

What implementation & setup includes

Features switched on for your trade

A pharmacy gets batch, expiry and FEFO. Apparel gets size and colour variants. Hardware gets unit conversions. You do not configure around a generic install.

Your structure entered properly

Registered firms with their own books and GST registrations, outlets and warehouses as sites, and site groups where a manager covers several.

Roles cut to your people

Permissions resolved per outlet and per firm, so a cashier sees a till, a branch manager sees a branch, and the books stay where they belong.

Master data loaded

Units of measure, categories, tax classes and jurisdictions, supplier price lists, customer accounts and credit terms.

Opening stock counted in

The number in the system has to match the shelf on day one, because everything measured afterwards is measured from it.

POS terminals ready

Terminals configured per outlet with the tender types you take, so the counter works from the first customer.

How it runs

The engagement, step by step

01

Map the structure

How many registered firms, how many places that transact, who is responsible for what.

02

Configure

Features, roles, tax registrations, locations, channels and price lists, entered against that map.

03

Load and verify

Master data in, opening stock counted, tax classes checked so nothing can sell at zero by accident.

04

Dry run, then go live

We bill test transactions end to end — receipt, sale, return, report — before you open on it.

FAQ

Implementation & Setup — common questions

Why does an ERP need implementation at all?

Because the same software has to behave differently for a pharmacy and a hardware supplier. Implementation is where your trade's features get switched on, your registered firms and outlets get entered, roles get cut to your staff, and your master data and opening stock get loaded — so you log in to a system that already fits rather than a blank one.

Can you set up multiple outlets and firms?

Yes. Outlets are sites and registered firms are legal entities, which are separate dimensions in the model. A group can run several firms across many outlets, with roles scoped per outlet, per group of outlets, or per firm.

What is opening stock and why does it matter so much?

Opening stock is what you physically hold on the day you start. Every movement afterwards — sales, receipts, adjustments — is measured against it. If it is wrong on day one, every report built on it is wrong, so we count rather than estimate.

Do you handle GST registrations and tax setup?

We enter your tax registrations per legal entity and configure tax classes, components and jurisdictions. Tax resolution is fail-closed, so an item without a resolvable tax class will not quietly sell at zero — which is checked during the dry run.

See it shaped like your business.

Tell us what you sell, how many outlets you run and where you sell it. We will walk you through a real system set up like yours — not a generic demo.
