VAP for Pharmacies & Medical Stores
Pharmacy software that tracks every batch and expiry
Expiry-driven, batch-accurate, always countable.
Pharmacy management software has one job the others do not: it must know which batch a strip came from and when it expires. VAP records every medicine against its lot and expiry date at goods receipt, picks first-expiry-first-out at the counter, and carries the MRP printed on each pack size. Your GST returns and your online medicine store read from that same stock.
What gets in the way
Where pharmacies & medical stores lose money
Expiry write-offs you find too late
Short-dated stock sits behind fresh stock because nobody can see which batch is which. By the time it surfaces in a stocktake, it is a write-off rather than a discount.
A recall means shutting the shop
When a batch is recalled, finding every strip you received and sold means going through paper bills — if the batch number was even written down.
MRP differs by pack, software does not
A 10-tablet strip and a 100-tablet bottle carry different printed prices. Systems that hold one price per product force staff to override at the counter, and margin quietly disappears.
What you get
Set up for pharmacies & medical stores
Every business on VAP gets the features that trade actually needs — nothing you have to configure around. Here is what a pharmacy setup includes.
Batch & lot tracking
Every goods receipt captures lot numbers and expiry dates line by line. A recall query becomes a lookup instead of a search through paper.
FEFO picking
First-expiry-first-out picking is configurable per site, so the strip closest to expiry always leaves the shelf first and write-offs shrink.
MRP per pack size
Strips, bottles and boxes each carry their own printed price, captured at the pack unit you actually received.
Counter billing
Barcode-first POS with cash, card, UPI and wallet — every tender lands in the same books, per terminal, per outlet.
Purchase orders & receipts
PO to goods receipt with lot-level capture. Distributor item codes and price lists keep procurement honest across suppliers.
GST invoicing & returns
Invoices, credit notes and GST reports generate from the same records you already billed — per registration, no exports.
Customer & prescription history
One customer record holds purchase history across visits, so refills and chronic-medication reminders ride on real data.
Multi-outlet stock
Each branch holds its own stock and prices. Transfers between them are recorded movements, not phone calls.
In practice
What that looks like on a normal day
The morning expiry sweep
Pull everything expiring in the next ninety days, per outlet, sorted by value. Discount it, return it to the distributor, or move it to the branch that turns it faster — before it becomes a loss.
A distributor recall notice
Enter the batch number. You get every unit received, what is still on the shelf at which branch, and every invoice it went out on — in seconds.
Selling medicines online
Your online store lists from the same stock the counter sells from. When the last box goes at the till, it disappears online too — no overselling, no apology calls.
Refill reminders that are actually right
A customer buying a month of chronic medication gets a reminder when the month is nearly up, keyed off what they actually bought, not a mailing list.
Selling online
Your website, on the same stock
Vritti builds the storefront and deploys it on Vritti Cloud, on your own domain. Connecting it to VAP is optional — but when it is connected, there is one catalogue and one inventory instead of two.
An online medicine store on your own stock
Vritti builds and deploys your storefront on Next.js and Payload CMS, reading live catalogue and stock from VAP. Customers see what you actually hold.
One customer, counter and online
The shopper who orders online is the same party record your staff see at the till — history, dues and messages in one place.
FAQ
Pharmacy software — common questions
Does VAP track medicine batch numbers and expiry dates?
Yes. Every goods receipt captures lot numbers and expiry dates at the line level, and stock is held per batch. You can query any batch to see what you received, what remains on the shelf at each outlet, and every invoice it was sold on.
What is FEFO and does the software support it?
FEFO means first-expiry-first-out — picking the batch closest to expiry before newer stock, regardless of when it arrived. VAP supports FEFO picking as a per-site setting, which matters because a later delivery often carries an earlier expiry than one already on the shelf.
Can it handle different MRPs for different pack sizes?
Yes. MRP is recorded per unit of measure and currency, so a 10-tablet strip, a 15-tablet strip and a 100-tablet bottle each carry their own printed price. The MRP is captured at the pack unit you received it in.
Does it generate GST returns for a pharmacy?
GST reports generate from the invoices and goods receipts you already recorded, per tax registration. Tax is fail-closed — an item without a resolvable tax class will not silently sell at zero.
Can I sell medicines online with the same stock?
Yes. Vritti builds your online store and deploys it on Vritti Cloud, reading the same catalogue and per-outlet stock as your counter. A sale at the till reduces what is available online immediately.
Does it work across multiple pharmacy branches?
Yes. Each branch is a site holding its own stock, prices and staff permissions. Transfers between branches are recorded movements, and you can still see the whole business consolidated.
