VAP for Hardware & Building Material Suppliers
Hardware software that gets units of measure right
Sold by piece, kilogram, metre and bag.
Hardware pricing is a unit-of-measure puzzle: cement by the bag, wire by the metre, screws by the hundred, steel by the kilogram. VAP converts between purchase, stock and sale units while carrying cost correctly through every step, handles contractors who are simultaneously customers and suppliers, and keeps multiple godowns in one ledger.
What gets in the way
Where hardware & building material suppliers lose money
Every product has three units
Bought by the tonne, stocked by the bundle, sold by the metre. Systems that hold one unit force staff to do the maths, and the maths is where margin goes.
Contractors are both sides of the ledger
The contractor you sell to is often the one you buy back from. Two separate accounts means two versions of the truth about what they owe.
Stock lives in four places
Counter, main godown, site store and the van. If they are not distinct locations in one ledger, nobody can answer where anything is.
What you get
Set up for hardware & building material suppliers
Every business on VAP gets the features that trade actually needs — nothing you have to configure around. Here is what a hardware & building materials setup includes.
Any unit, converted
Buy by the tonne, stock by the bag, sell by the piece. Conversions carry cost correctly throughout.
Multi-godown stock
Counter, godown and site store share one ledger. Transfers are recorded movements, not phoned in.
Contractor accounts
One party handles a contractor who is both customer and supplier, with credit terms and contacts per function.
Invoices, dues & credit notes
Full invoice lifecycle with payments, outstanding and credit notes tied to the original bill.
Purchase orders
PO to goods receipt with supplier price lists, so landed cost is captured rather than estimated.
Counter billing
Fast billing with every tender type, plus quotations that convert into orders.
GST from your records
Purchase-heavy GST filing generates from the goods receipts and invoices you already recorded.
Multi-outlet & multi-firm
Several counters and several registered firms, each with its own books and registrations.
In practice
What that looks like on a normal day
A quotation for a site
Quote in the units the contractor asks for, convert to what you stock, and turn the accepted quote into an order without retyping it.
A contractor settling both ways
What they bought and what you bought back sit against one party, so the net position is a fact rather than an argument.
Stock across counter and godown
Move a bundle from the godown to the counter and it is a recorded movement with a trail, not a note in a diary.
Selling online
Your website, on the same stock
Vritti builds the storefront and deploys it on Vritti Cloud, on your own domain. Connecting it to VAP is optional — but when it is connected, there is one catalogue and one inventory instead of two.
A catalogue and enquiry site
Vritti builds and deploys your site on Next.js and Payload CMS with live products and stock from VAP, so enquiries arrive against real availability.
Trade ordering online
Regular trade accounts can order against their own pricing and credit terms, from the stock you actually hold.
FAQ
Hardware & Building Materials software — common questions
Can it sell the same item by piece, metre and kilogram?
Yes. Unit-of-measure conversions are native to the inventory model. You can purchase in one unit, stock in another and sell in a third, with cost carried correctly through each conversion so margin does not drift.
How does it handle a contractor who is both a customer and a supplier?
Vritti uses a party model where one identity can hold several functions. The same contractor is a customer and a supplier on one record, with a different address, contact and set of credit terms per function.
Can I track stock across multiple godowns?
Yes. Each counter, godown and site store is a location in one inventory ledger. Transfers between them are recorded movements with a full audit trail.
Does it produce GST reports for a purchase-heavy business?
Yes. GST reports generate from the goods receipts and invoices already recorded, per tax registration, so purchase-side filing does not need a separate exercise.
Can I run more than one registered firm?
Yes. Legal entities are separate from physical locations, so each registered firm keeps its own books, fiscal year and tax registrations while you still see the group consolidated.
